Receptionist/Executive Assistant (0710)

Job Purpose

The Receptionist/ Executive Assistant represents Watches of Switzerland Group as the first point of contact for colleagues and visitors at our newly renovated corporate office. The Receptionist/ Executive Assistant ensures our office operates with a client service and hospitality focused approach. This individual is responsible for providing administrative support to the VP Operations and Finance  and preforming select administrative duties to support his direct reports.

 

Responsibilities

  • Maintains and manages VP Operations & Finance’s calendar.
  • Arranges travel and prepares expense reports.
  • Performs variety of administrative tasks such as data entry, filing, and document preparation.
  • Greets, checks-in, and assists visitors in finding their way around the office.
  • Handles confidential information with professionalism and discretion.
  • Manages meeting room availability and scheduling.
  • Receives, sorts, distributes, and dispatches mail and packages.
  • Assists in coordination of internal meetings and events.
  • Manages office inventory such as stationery and refreshments.
  • Maintains safety and hygiene standards of the reception area, conference rooms, and shared office areas.
  • Supports workplace security by issuing, checking, and collecting badges, as necessary, and maintaining visitor logs,.
  • Prepares boardroom and meeting rooms including troubleshooting virtual meeting platforms.
  • Answers general phone number in a professional manner, and routes calls as necessary.
  • Other duties and special projects as assigned.

 

 

Requirements

  • 8+ years of experience in large business(es)
  • 5+ years of experience as an executive assistant
  • Exceptional interpersonal skills with colleagues (all levels) and third parties
  • Technically savvy, expert in Outlook and PowerPoint, as well as proficient in Teams and Excel
  • Very good written and verbal communication skills
  • Excels in client service and hospitality, speaking with warmth and enthusiasm
  • Strong organizational and time management skills
  • Strong attention to detail
  • Flexible to respond quickly and positively to shifting demands and opportunities in a fast-paced environment
  • Professional appearance, polished and poised
  • Willingness to grow with the Company and take on more responsibilities
